What does a fund administrator do?

A fund administrator maintains the operational records that connect investors, cash movements, fund transactions and reporting. Depending on scope, this includes investor onboarding, transfer agency, subscriptions and redemptions, capital calls, distributions, bookkeeping, NAV, fee calculations, investor reporting, document management and audit preparation.

Start with the fund’s actual operating requirements: structure, investor count, reporting frequency, transaction volume, valuation process and cross-border exposure. Then assess ownership of each workflow, turnaround expectations, data access, review controls, migration capability, technology and what is excluded from the recurring fee.

Emerging managers often have limited internal finance and operations capacity, while LP expectations begin at first close. Consistent administration creates reliable investor records, fund books, capital activity and reporting. It also reduces the amount of fund history held in one person’s spreadsheet or inbox.

The platform should provide structured investor records, document access, onboarding status,
capital-event workflows and reporting visibility. Technology alone is not enough. Managers should also understand who reviews exceptions, maintains the books, calculates NAV and fees, and coordinates with investors and auditors.
